Yes! While the Podio platform is a collaborative tool, sometimes work is confidential and should not be seen by everyone in an organization. Private workspaces are invite-only—users that are not members of the workspace do not have access.

You can create unlimited items in any of the paid plans. On the free plan, you have a limit of 100 items per organization. The total number of items created across all your apps and workspaces in the organization cannot exceed 100 on the free plan. Learn more about the Item Limit.

You can use simple workflows to automate your processes in the Podio platform. Workflows are triggered using a "when/then" format. For example, you can set up a workflow that functions like this: when you change the status of an item to "complete," then a task is automatically assigned to the person who needs to review the item. With an annual plan, you pay for one year up front and receive a discount. Your plan will automatically renew at the next annual billing cycle. Additionally, on a Premium annual plan, you have access to Podio advanced integrations, like extension vouchers and sales dashboards from our partners.

Employees and clients in Podio software are differentiated by their permission types. Employees are paid users with advanced workspace permissions, including app and workflow management, while clients—such as contractors and freelancers—are free users with limited permissions like viewing, commenting, and uploading files. User management lets administrators oversee and control all members in the organization. You can view members, remove members, assign admin roles, and convert clients to employees or vice versa. Find out more.

Podio software lets you collaborate with external users, such as clients, partners, and freelancers. The light role provides limited permissions for these users. Light users can't edit, add, or delete apps, nor can they invite people to your workspaces. Find out more.
