Sort, search, and export contacts

Overview

To see a list of all contacts, open the Contacts page. By default, contacts most recently identified and tracked by the system are listed on top. Contacts list information includes:

  • Contact email
  • The date on which the contact became known
  • The persona this contact is most similar to
  • The lead scoring types to which the contact has scored points

Sort contacts

To sort the contacts list, click the respective column title. To switch between the ascending and descending order, click the column title again.

Search contacts

Apart from using a contact's email as search criteria, you can use the Advanced search option. Using one or more search criteria, you can make more complex filtering combinations to narrow down your search results to the type of contacts you need. Search results display a summary of search criteria and the number of contacts (out of all contacts) that match these criteria.

You define each advanced search criterion using one of the following options.

Search by behavior

Behavior criterion Procedure
Lead scoring
  1. Select the lead scoring type the contacts must be associated with.
  2. Select the lead scoring stage the contacts must have reached.
Optionally, enter custom score that is not predefined by lead scoring stages.
  3. Choose the period in which scored lead points.
To enter a custom date range, click Between.
Persona
  1. Select the persona you want to use as search criterion.
  2. Choose one of the matching criteria for contacts and personas:
    • Contacts that fully match this persona
    • Contacts who have some points for this persona
Enter a range of scored points or percentage of similarity to this persona that contacts must have.
Campaign
  1. Select the campaign to which contacts must be associated.
  2. Choose which contacts to display:
    • Engaged
    • Converted in total
    • Engaged and then converted
    • All targeted
  3. Choose for which campaign status to display contacts:
    • Before campaign
    • During campaign
    • After campaign

NOTE: You do not see this option if you want to display All targeted contacts.

Touchpoint
  1. Select the touchpoint that the contacts must have hit.
  2. Choose when the contacts hit the touchpoint.
To enter a custom time range, click Between.
Conversion
  1. Select the conversion that contacts must have accomplished.
  2. Choose when the contacts completed the conversion event.
To enter a custom time range, click Between.

Search by personal data

Personal data includes all personal information each contact profile contains, for example, Last name or Company. You may use any custom contact property that you defined, for example Job title.

Simply select the type of personal data to use as search criterion and then the clarification condition for the text field:

  • Contains – contains any of the specified text
  • Doesn't contain - does not contain the specified text
  • Starts with – starts with exactly the specified text
  • Ends with – ends with exactly the specified string text
  • Is equal to – exactly the specified text

Complex search conditions

Advanced search can use just one search criterion, like the ones above, or more complex queries. You can add several filtering conditions and create custom combinations of conditions. You can choose whether all or any of conditions needs to be met to reflect the search criteria.

NOTE: If you select Campaign as search criteria, you cannot make filtering combination with Lead scoring and Personas.

When you have two or more conditions, you can choose from a dropdown whether All or Any of them must be satisfied.

Export contacts

Once you get search results with exactly the contacts you need, you can export these contacts (or the whole contacts database, for that matter) to a CSV file. You can use the exported list of contacts for workflows in other systems, for example, or to create campaigns or personalized content for these contacts. Apart from name and email address of contacts, the CSV file contains information about filter criteria you used, for example, personas associated to the contacts in the list.

NOTE: When your contact search filter includes conversions or touchpoints, the exported CSV file contains timestamps when each contact hit a specific touchpoint or accomplished a conversion that was used in the filter.

Note that if the search results list is too long, the CSV file may also be bigger and processing the file may take several minutes.

To export contacts, click export contacts(Export results). The Preparing CSV file prompt appears. While it is shown, Sitefinity Insight is preparing the full list of contacts matching your criteria. After the process completes, your browser will automatically initiate a download of the .CSV file containing the found contacts.
