User management
Overview
Sitefinity NextGen enables you to manage the users in your organization through the Management Portal layer, which is based on Azure DevOps.
You can invite new users to the project. Additionally, project administrators can configure Sitefinity roles for users to control what data is accessible and manageable by them.
Access User Management
PREREQUISITES: User Management is accessible only to users with Manage Users permission.
If you see an error message when trying to access the Users page, you must contact a user within your organization that has Administrator privileges and request access.
To access User Management, in Sitefinity NextGen Management Portal, click Users in the left pane.
When the Users page opens, you can see a list of all the users that are currently part of Microsoft Entra ID (formerly, Azure Active Directory) for your project. You can filter the users by name or email.
For each user in the list, you can view their user roles under the Sitefinity roles column.
Invite new users to your project
To invite new users through the Management Portal of your project, perform the following:
- Navigate to the Users page and click Invite new users.
The Invite new users dialog box opens.
- In the Users input field, enter the email of one or more users.
- In Sitefinity roles dropdown box, select the role that the user will have in the Sitefinity backend.
You can choose from these options: Administrator, Author, and Editor. - Click Invite new users.
The new user(s) appear in the list under the Users page.
Once a user account has been created, users receive an email invitation from the Sitefinity Cloud team. This email contains the user's login username, the Sitefinity NextGen account URL, and further instructions how to proceed.
Change the role of an existing user
You can change the role of an existing user in the following way:
- Open the Users page and open the More options menu for the respective user.
- Click Change role.
- In the dialog that opens, change the assigned role.
- Save your changes.
Resend an invitation
If the invited user has not yet accepted the invitation email, you have the option to resend it.
To do this, open the More options menu for the respective user and click Resend invitation.
Reset multi-factor authentication (MFA)
If necessary, you can manually reset the MFA method configured for an existing user in the following way:
- Open the Users page and open the More options menu for the affected user.
- Click Reset multi-factor authentication.
- In the dialog that opens, click Reset to confirm your action.
The configured MFA method for this user will be removed, allowing the user to set up a new MFA method at their next sign-in attempt.
Remove an existing user
If you want to remove an existing user from your project, perform the following:
- Open the Users page and open the More options menu of the user that you want to remove.
- Click Remove and confirm the removal.
Manage users limit
Depending on the license you use, you have a limit on the number of users that can be registered in Sitefinity NextGen Management Portal.
To check your current users limit, click the View quota button available on the Users page.
If you have reached the limit, when you try to add a new user, you will get a warning message.
NOTE: If a user is invited and has a Visual Studio subscription but has not yet logged in the Management Portal, that user is counted towards the limit. This is because Sitefinity NextGen has no information about the license. Once the user logs in for the first time, that information is updated and the user is excluded from the limit.
